Tasmanian Event Management Guide

The Tasmanian Events Management Guide has been designed to be relevant to events held throughout Tasmania and contains advice and guidance specific to Tasmanian conditions. It is laid out in two parts:

1)     The Tasmanian Event Management Guide is an easy to use handbook, that leads an event manager or management committee through the step-by-step process in the concept development, governance and practice of event management. The handbook is linked, using tabs and colour coding to:

 2)     The Event Planner. This manual contains templates and references that will enable events to develop their own individualised event management plan. This is designed to assist both current and future organisers of the event to have standardised documentation representing all aspects of the operation of the event from concept, marketing, and design through to risk management, safety, logistics and site management. The Event Planner is contained (as an MS Word document), along with other useful information, on a CD that comes with the Guide.

Both documents follow the methodology of event management as set out in the internationally recognised system known as the Event Management Body of Knowledge (EMBOK).

PURPOSE 

·             Tasmania plays host to a wide variety of festivals and special events in communities across the state. With a very high per capita community participation and attendance at events, they play a significant role in defining our community and making Tasmania special.

·             Traditionally many of these events did not target the tourism market and were organised for reasons such as community milestones, recognition of historical or heritage values, for competition or fund raising. However, increasingly over the past decade, festivals and events have become widely recognised as a growth sector in the tourism industry as well, with the potential to deliver economic and social benefits to the communities in which they are held, as well as to the wider Tasmanian community.

·             This guide recognises the value of events in a tourism context and lays out some important considerations about the Tasmanian brand, theme and creativity that will help give Tasmanian events a competitive edge over their mainland cousins.

 ·             Although professional event staff are often contracted to manage specific events, community groups made up of volunteers manage the majority of events. The dedication and commitment of these volunteers is critical to the success of the event and it is widely recognised that the event would not happen without their support. The guide outlines some important principles in both volunteer and stakeholder management.

Who needs this Guide?

·             Public events are an essential part of living in Tasmania and they have a significant impact on the Tasmanian brand. Managing public events, particularly those that involve the serving of food and alcohol, or where there is an element of risk, require careful planning. The compliance requirements in Tasmania differ from other states and the Guide will help event organisers find their way through them.

·             This guide covers some of the generic as well as some event-specific organisational principles. It provides templates for event planning in formats that may be useful when completing licence requirements for the various authorities, such as the police and local council officers.

·             Documenting an event is a valuable tool to ensure that future members of an organising committee will understand how the event works and the necessary steps they will need to take. They can use this guide to help create their own Event Plan and the event will have a better chance of surviving and thriving, no matter who may be organising it.

KEY MESSAGES

The order in which this guide is set out has been carefully considered, so that a firm foundation is laid before beginning the process of putting on the event, so:

1.          Articulate why you are doing it, including who it is for, and what is possible with the resources at your disposal, before you get into the how  (the operational details) of your event.

2.          Be sure to define the roles that people play including: 

  • The management committee members.
  • The event director.
  • The event co-ordinator(s).
  • The volunteers.
  • Your stakeholders and partners.

3.          Record what you do and what you know for the benefit of future organisers of the event.

Tasmanian Events Database - Calendar of Events

The Tasmanian Events Database lists festivals and events happening throughout Tasmania. Your event can be registered and listed by you anytime by logging onto the Tourism Tasmania Events Calendar website.

This service provides you not only with a listing but also a page dedicated to your event. For support regarding your event listing or for more information please email events@discovertasmania.com or phone (03) 6393 7208.

Be sure to have all the details about your event, such as when and where it will occur, how much it will cost, where bookings can be made, a description of the event and what category it should fall into. Also ensure you have some photos and or a logo that can be presented on your page.
